How to leave Excel and move your workshop to a real system
Almost every workshop that runs its clients in Excel started with good intentions: a simple sheet, four columns, easy to follow. The problem doesn't show up on day one, it shows up once the workshop grows and that sheet has to serve more than one person at a time.
The problem isn't Excel, it's more than one person using it
An Excel sheet works fine with a single owner: they know what each column means, and nobody else is typing over it. As soon as a second mechanic or a receptionist joins in, two versions of the file appear, someone overwrites a cell by mistake, and nobody's sure which one is the "good" one.
It's not a failing of the person running it, it's what happens to any spreadsheet once two people touch it at the same time.
A spreadsheet doesn't warn you about anything
Excel doesn't tell you a client's inspection is due, or that a quote has gone a week without a reply, or that a car has sat in the pit for three days. All of that depends on someone remembering to check, and on a busy workshop day nobody has time to go through an entire sheet.
A management system flips that around: the system is the one that warns you, not you the one who has to remember.
History gets lost between tabs and old files
"Clients_2024.xlsx", "Clients_2024_final.xlsx", "Clients_good.xlsx". If that sounds familiar, you already know how it ends: a vehicle's real history ends up spread across several files, and nobody knows which one to check first when the client comes back two years later.
Per-license-plate history fixes exactly that: every vehicle collects its work orders in one place, no tabs, no versions.
What happens to your current data when you switch
Your clients and vehicles do come with you: you save your Excel as CSV and import it from Clients, with a sample template and a preview that tells you which rows go in and which don't before anything is created. If you'd rather not touch it, send us the file when you subscribe to a plan and we load it for you, at no cost. From there the history builds itself with every new work order, and your old Excel stays there as a reference file.
If you have hundreds of records and the volume worries you, write to us before signing up and we'll work out the handover together without stopping your workshop for a whole day.
What you won't find here
Worth saying plainly so you don't sign up expecting something that isn't there:
- The importer brings clients and vehicles, not everything: name, ID number, contact details, notes, plate, make, model, year, VIN, colour, mileage and inspection date. Up to 500 rows per file; if you have more, split it or send it to us once you subscribe.
- Tallerio isn't "Excel with more columns": it's a flow of check-in, work order, repair and invoice, not a free-form table to type whatever you want into.
- It doesn't migrate your history automatically. New history starts building from the first day you use Tallerio, not from your years of Excel.
Try it free for 14 days
Tallerio has a fixed price starting at €29/month with the Básico plan , with no per-mechanic cost and no dependence on one person knowing how to maintain the spreadsheet. You can see it working in 15 minutes before deciding.

Frequently asked questions
Can I import my client Excel or CSV directly?
Yes. Save your sheet as CSV and upload it from Clients with the Import CSV button. Tallerio recognises columns such as name, ID number, email, phone, plate, make, model, year, VIN, mileage and inspection date, shows you a preview and doesn't duplicate clients you already have. If you'd rather we did it, send us the file when you subscribe to a plan and we load it at no cost.
What if I have hundreds of clients in the spreadsheet?
You can import up to 500 rows per file, so with a few files any workshop fits. If you don't want to do it yourself, send us your sheet when you subscribe to a plan and we load it at no cost. Many workshops take the chance to keep only their active clients and leave the old sheet as a historical file.
Do I lose the repair history I have in Excel?
It isn't lost, but it doesn't move over on its own either: it stays in your file. What Tallerio gains from today is new history, by license plate, without depending on someone typing it correctly into a cell.
How long does it take to add a client and a vehicle by hand?
A few seconds: name, phone, plate and model. It's not a mass migration, it's the same thing you already do when a new car comes in, just that now it's stored somewhere the whole workshop can check.
Is it worth switching if my Excel "works fine"?
It works fine as long as one person runs it. As soon as two people touch it at once, or someone enters data in the wrong cell, it stops being reliable. If that's your case, the problem isn't Excel, it's that it no longer fits in a spreadsheet.
