Work orders for auto repair shops: from a paper or Excel template to software

Open one order per vehicle, with its jobs, mechanics and parts. The customer signs it, the quote is built from it and the whole shop sees its status.

Are your work orders still in an Excel template or a carbon pad?

One sheet per car works until you have to find it, know where the job stands or prove what the customer authorized.

  • The same sheet, filled in every time

Name, phone and plate written by hand at every check-in, then filed away.

With TallerioYou create the order by searching the customer by name, phone or plate.

  • Nobody knows how the car is doing

To know if parts are missing or the car is ready, someone has to ask on the shop floor.

With TallerioEvery order has a status the whole team can see.

  • Unauthorized work

With no signature and no accepted quote, any extra ends in an argument.

With TallerioSigned order and accepted quote before the repair starts.

What an auto repair work order contains

A work order gathers in one place the customer, the vehicle, what the customer says is wrong and the jobs to do. In Tallerio it is filled in on one screen:

  • Customer and vehicle: name, phone, make, model and plate.
  • Reported problem, quick categories (engine, brakes, oil, tyres and more) and estimated delivery.
  • Jobs with their estimated hours and hourly rate: labor is calculated for you.
  • Parts from the catalogue or typed in, internal notes and photos taken before the work.

Mechanics assigned to each job

In Tallerio mechanics are assigned per job, not to the whole order. Each person sees exactly what is theirs.

  • One or several mechanics on each job, when creating the order or later.
  • Assignment takes into account how many active orders each mechanic already has.
  • When a mechanic starts a job, the order moves to In progress.

Signed order and accepted quote before the repair

The order is created as a draft pending signature and printed for the customer to sign. Then you generate the quote, and the repair starts once the customer accepts it.

  • The quote builds itself: one labor line per job and one per part.
  • Diagnosis can be done before quoting.
  • If extra work comes up on an order already invoiced, a new cycle opens with its own signature and quote.
