Which Verifactu invoicing software suits a repair workshop best?
No single program is the best for every workshop. It depends on size, on the kind of work you mostly do and on how the workshop is organised today.
Invoicing is the last step of a longer process: a vehicle comes in, the customer is registered, a quote is prepared, a repair order is opened, parts and labour are added, the job is finished and only then is the invoice issued.
That is why most workshops need management software that is also adapted to the regulation, rather than a plain invoicing program. Below we go through what to check and compare several products in the sector.
Key points we look at
To assess each option we look at a workshop's day-to-day operations:
- Veri*factu readiness Compliance with the Spanish tax agency's invoicing regulation.
- Quotes and repair orders How easily a quote becomes an order and then an invoice.
- Customer and vehicle records History by number plate, technical data and past repairs.
- Appointments and bookings How the diary and job intake are organised.
- Access from computer, tablet or phone Use in the office and next to the vehicle.
- Customer communication WhatsApp notices, booking confirmations or sending documents.
- Migration from another program Whether customers, vehicles and past data can be imported.
- Price and the chance to try it Clear pricing, demos or trial periods.

What is Verifactu and when does it affect a workshop?
Veri*factu refers to the technical requirements invoicing software in Spain must meet under the regulation that followed the Anti-Fraud Act. Put simply, the aim is to prevent invoices being tampered with, keep them traceable and make sure every invoice issued is recorded in a way that cannot be altered.
What users notice most are chained invoice records, QR codes on invoices and the option of sending invoice records automatically to the Spanish tax agency.
Deadlines
After the extension in Real Decreto-ley 15/2025, the calendar for using adapted software is:
These deadlines have already moved once. Check the current dates on the AEAT's official site.
Advice for the workshop: even with time left before the deadline, do not leave it to the last minute. Adapting early lets the team learn the system, clean up old data and avoid a rush when the rule finally applies.
For the detail, we have a guide on what Veri*factu requires of a workshop and how to comply.
What should good workshop software include?
A repair workshop runs very differently from a shop or a professional services business. At a minimum, check five things:
Invoicing adapted to Verifactu
The program must meet the invoicing regulation: chained records, traceability, the QR code and the developer's declaration of compliance. Bear in mind that the tax agency does not "approve" individual programs. It requires vendors to certify, through that declaration, that their software complies.
Quotes and repair orders
In the daily life of a workshop, the invoice is usually the final step of a well-defined flow:
- CustomerReception
- VehiclePlate and mileage
- QuoteEstimate
- Repair orderRepair
- WorkParts and hours
- InvoiceVeri*factu QR
If the software does not connect these steps, the workshop ends up doing the work twice: the quote in one place, the repair noted on paper or in another program, and the data typed again into the invoicing tool. Specialised vendors such as Tire&GO present this flow as the core of their product.
Customers and vehicles
Searching by plate, seeing past repairs, recording mileage and tying each job to a specific vehicle is essential to avoid mistakes and look after customers properly.
Appointments and bookings
Not every program handles appointments the same way. Some offer an internal diary, while others let customers book online, send reminders or integrate with WhatsApp, as OptimaxPRO and Tire&GO advertise.
Access from phone and computer
There is not always a computer within reach on the workshop floor. Looking up a plate or logging a job from a phone or tablet, next to the vehicle, saves trips to reception and copying notes later. Check whether the program runs in a browser or has to be installed on a specific machine.

Tallerio
Cloud management and quick startTallerio is cloud software designed so the workshop does not have to install servers or go through complex setup. It is built around a very direct workflow:
- Customer
- Vehicle
- Quote
- Repair order
- Repair
- Invoice
- Customer communication

Invoicing with Veri*factu
On the Pro and Business plans, invoices carry the chained record, the tax agency's QR code and the VERI*FACTU legend. A quote becomes an order and an invoice without retyping parts or labour. Veri*factu is switched on from the workshop settings.
What it does not do: no warehouse management or full accounting, and it is a young product without the track record of other options on this list.
Tallerio's published prices and terms
14-day free trial, no card: the team sets the workshop up in under 24 hours. If you subscribe afterwards, migrating your data from another program or from Excel is free. The detail is in the Tallerio plans.
GestFuturo
Experience and functional depthGestFuturo, by Futuro Informática, is one of the longest-standing workshop programs in Spain: its website cites more than 30 years of experience. It covers work orders, appointments and planning, stock control, vehicle history and invoicing, with Veri*factu and TicketBAI.
Who it is for: workshops that want a very complete, configurable system, or that need integrations with estimating platforms such as Audatex or GT Estimate.
Price and access: it runs on Windows, with an Android tablet app. Prices are not published on the page reviewed and are given after an online demo.
Head to head: Tallerio and GestFuturo compared.
OptimaxPRO
Cloud-based, focused on bodywork and appraisalsOptimaxPRO presents itself as cloud software for mechanical and bodywork workshops. It covers repair orders, quotes, invoicing with Veri*factu, inventory and stock and a workshop website with online booking, plus GT Motive and Audatex appraisals and courtesy vehicles.
Published prices: Autónomo (€29 per month), Premium (€59 per month) and Business (€99 per month) plans, with a 15-day trial of the Premium plan and no card.
Key points: it runs in the browser on a computer, tablet or phone with nothing to install, and includes built-in WhatsApp for customer contact.
TallerMatic
Simplicity and an accessible priceTallerMatic is aimed at small, family-run workshops looking for an easy tool. It includes work orders, quotes and delivery notes, customer and vehicle records, stock and purchasing, a diary with appointments, and invoicing with Veri*factu and TicketBAI included.
Published prices: €99 per year or €10 per month, with a 14-day free trial and no card. It is the lowest published price in this comparison.
Mobility: it can be used on PC, tablet or phone, which makes it easy to look things up or log jobs next to the vehicle.
Head to head: Tallerio and TallerMatic compared.
Tire&GO
Automation, online booking and AITire&GO offers a cloud product centred on automating the business, with its roots in tyre shops. Its flow runs end to end: booking, quote, parts order, repair order, invoice and payment.
Automation: online booking with a deposit taken upfront and an AI virtual receptionist (Rueda) that answers calls and WhatsApp messages.
Commercial model: its website advertises €0 per month if customers make a minimum number of bookings each month, with a commission per tyre sold. Onboarding starts with a demo.
Specialised workshop software vs. generic invoicing software
Many workshops wonder whether a general invoicing program is enough or whether a tool built for the motor trade is worth it. The difference is not whether both can issue a legal invoice, but how they handle the workshop's daily operations:
| Workshop need | Generic invoicing software | Specialised workshop software |
|---|---|---|
| Customers | Yes | Yes |
| Invoicing | Yes | Yes |
| Veri*factu | Usually yes (depends on the vendor) | Yes (in the adapted products) |
| Vehicles (plate, make, model, mileage) | Not native (needs free-text fields) | Native |
| History per vehicle | Not usual | Yes |
| Workshop quotes | Generic | Built around labour and parts |
| Repair orders | Not usual | Yes |
| Workshop appointments and bookings | Rare, or through external plugins | Common |
| Parts stock control | Generic | Designed for parts and references, depending on the product |
| Reception, order and invoice flow | Not usual | Yes |
| Trade integrations (labour times, parts suppliers) | Not usual | Available in advanced products |
A generic program can issue legal invoices, but it leaves the workshop to solve everything else separately (paper, spreadsheets or manual cards). Specialised software brings the technical and administrative sides into a single workflow.
What should you check before signing up for software with Verifactu?
Before choosing one product over another, put these eight practical questions to the vendor:
How exactly does the software handle Veri*factu?
Make sure it has a declaration of compliance and meets the technical requirements of the regulation.
What happens after a quote is created?
Check whether it can be turned straight into a repair order.
Can the order's data be reused on the invoice?
Confirm you will not have to re-enter parts, labour times or customer details.
How is vehicle history handled?
Check whether typing a plate brings up past repairs and mileage.
Is the appointment system an internal diary or real online booking?
Depending on how you work, you may want an internal diary or customers booking for themselves.
Can you work from a phone or tablet on the workshop floor?
Very useful for checking data at the lift without going back to the reception computer.
Do they help migrate old data?
Moving customers and plates over from Excel or another program saves hours when getting started.
What will I really pay per month or per year?
Look for installation costs, annual maintenance, separately charged support or invoice limits.
Which software should I choose?
There is no single answer. The choice depends on the size of the workshop, the kind of work it mostly does and how digital it already is:
Small or family-run workshop
If you want a quick start and a cloud tool for quotes, work orders, customers, vehicles and invoicing, Tallerio fits that profile (Veri*factu from the Pro plan up). If price is the main criterion, TallerMatic publishes the lowest price in this comparison.
Broad workshop management
If your workshop does bodywork and paint, works with appraisals or needs detailed stock and planning, OptimaxPRO and GestFuturo advertise modules for that kind of work.
Bookings and automation
If your priority is winning online bookings, automating calls and messages with AI and managing tyre sales, Tire&GO offers a proposal built for that.
Managing from the cloud
If you want to work from the browser with nothing to install, Tallerio, OptimaxPRO and Tire&GO work that way. TallerMatic runs on PC, tablet and phone. GestFuturo runs on Windows, with a tablet app.
The full flow from quote to invoice
If retyping data is what costs you most, look at how each program moves from quote to order to invoice. It is at the centre of what Tallerio and Tire&GO offer. Try it with a real job before deciding.
Final recommendation: before deciding, use the free trials or guided demos these programs offer. Creating a quote, opening a repair order and issuing an invoice with real data from your workshop is the safest way to see whether the software fits how you work.
Frequently asked questions about Verifactu and workshop software
Can I keep invoicing with Excel or Word once Veri*factu applies?
No. General office programs such as spreadsheets or word processors let you edit, delete or duplicate invoices without leaving tamper-proof records, so they do not meet the technical requirements of the invoicing regulation.
Will Veri*factu send my invoices to the tax agency automatically?
In programs that operate in Veri*factu mode, yes: invoice records are sent automatically to the tax agency's online office when each invoice is issued. The rule also allows non-Veri*factu systems, which keep the chained records in the system itself and submit them if requested in an inspection.
What is the difference between a repair order and an invoice?
The repair order is the workshop's operational document: it records what the customer asked for, lists the work to be done and logs the parts used. The invoice is the tax document issued when the service is finished.
What happens if the internet drops while I am invoicing in a cloud program?
The regulation allows for technical incidents: if records cannot be sent at that moment, they are submitted once the connection is back. Ask your vendor how its program handles this and whether you can keep issuing invoices in the meantime.
Is it hard to migrate from my current program or my Excel files?
It depends on the source program, but usually not. Lists of customers, phone numbers and plates can be imported from Excel or another program. With Tallerio, if you subscribe after the trial, the team migrates your data at no cost so you do not have to enter it by hand.
Conclusion
No Veri*factu software wins on everything. All five programs in this comparison state they are adapted, so the difference lies in the rest: how they move from quote to invoice, who will use them in the workshop and what you will pay in total.
Choose by how your workshop works, and try before you sign. If you want to start with ours, you can request the Tallerio free trial or see plans and pricing.
